HQ DEPOSIT AND CANCELLATION POLICY
HQ will always try our best to accommodate our patients needs as best we can, however once the treatment date is booked, we then book the Surgeon, theatre room and up to 6 technical staff on each case which bears a non-refundable cost to us. Once we are 1 month before your surgery date all the costs of running your surgery would still be incurred by us regardless of whether you turn up for the surgery. Hence we have a 1 month cancellation policy. If your circumstances change please contact us as soon as possible so that we can discuss your needs and advise you further.
Deposit / Admin Fee. When you book your surgery you will have a 14 day cooling off period. You can ask for a refund or change of date during the cooling off period and up until 1 month before surgery. If you do decide to cancel (with more than one months notice before surgery), £250 administration fee is retained from your deposit by HQ to cover the time of booking in the surgery and any consultations and treatment plans you have already had. Once you are at 1 month before surgery date the deposit is completely NON-refundable (even in extenuating circumstances the deposit would be kept to cover admin costs and the costs of the consultations and surgeons time preparing your case to date)
Deposits – Single day surgery minimum deposit £500 Double day surgery minimum deposit £1000.
Balance All balances will be requested in full 1 month before surgery. We will attempt to make contact a maximum of 4 times over a period of 1 week to collect your balance. If it is not paid in full at this point we will release the date at a reduced price for another patient and you will lose any deposits paid to date to cover fees and losses.
Change of Date – We do allow you to change date of the surgery with 1 months notice before your surgery date without loss of your deposit and without penalty, the deposit will be moved to your new date. If you request to change the date with less than one months notice we have the right to refuse this request. If we do accept the request there would be an additional £1000 to pay for administration fees and to cover offering your original date to our wait list patients at a reduced price.
Extenuating Circumstances – In the event of you suffering medical or extreme circumstances (for example you are admitted to hospital or suffer a close family bereavement) then you can change the date at short notice but will absolutely in all cases need to provide proof which will be checked. I.e. Discharge papers from the hospital or a Death Certificate. Depending on the nature of this, the clinic manager will decide if you would need to pay the £1000 administration charge. The Clinics Managers decision on this is final.
Cancellation Within 1 Month- If you completely cancel your surgery within one month of your surgery date, and you are outside of the cooling off period as outlined above and without any extenuating circumstances as outlined above, there will be NO refund due of any kind.
